SALES ADMINISTRATOR (PART TIME)- GRIMSBY

Trenton Grimsby are currently looking for an enthusiastic, highly motivated Sales Administrator to join our busy dealership in Grimsby. This is a part time role working 24 hours per week.

Job Purpose

The Sales Administrator will be a key part of our Sales Administration team and reporting to the General Sales Manager in ensuring the efficient and smooth running of sales administration.

Working as part of a team, you will be an essential contact with the Sales, Service and Parts Departments. You will be expected to maintain accurate vehicle records, process deals and order vehicles in line with dealership and legal requirements. You will have exceptional attention to detail, along with a logical and methodical approach to your work.

Job Description

Maintain accurate vehicle records, including deal files that comply with Trenton Hull Ltd and legal requirements:

  • Ensure the Data Management System (DMS) is updated daily with accurate information for new and used stock.
  • Perform daily and monthly audits of deal files to ensure that they are in line with Trenton Hull Ltd standards.
  • Assume responsibility for maintaining all documentation and records, and ensuring we are compliant with current laws and regulations.

Process deals through the system in a timely and accurate fashion and in accordance with Trenton Hull Ltd and legal requirements:

  • Adhere to the deal sign-off checklist on the Trenton Hull Ltd stock policy procedure.
  • Ensure all ancillaries such as warranties, service plans, roadside assistance and gap insurance are registered within the agreed timescales.

Accurately order vehicles in line with dealership guidelines:

  • Customer Order Management: ensure customers’ orders are progressed swiftly and processed in line with Trenton Hull Ltd and Customer expectations'
  • Ensure ordered vehicle matches customer and dealership requirements and if necessary obtain the appropriate signature.
  • Be fully conversant with current manufacturers’ ordering systems.

Maintain relationships both internally and externally:

  • Customer satisfaction: work pro-actively with the sales team to achieve customer satisfaction objectives and ensure that the customer is dealt with professionally in line with Manufacturer and Trenton Hull Ltd standards.
  • Sales Team Support & Communication: provide a positive and active support function to assist the sales team in achieving their targets.

Be an active member of the team by providing accurate information in a timely manner:

  • Document Management: accurately manage and co-ordinate the distribution of documents within the Sales Department and with other departments.
  • Demonstrate the ability to work to deadlines and adapt a flexible approach to meet the needs of the business.

Applicant Specification

To succeed in this role, you must have a desire to produce results, a commitment to excellence, be able to build outstanding customer relationships, and have a genuine passion to work for the company. You will need to have excellent organisational skills, a positive and helpful attitude and the drive, energy and commitment to support the Sales Team.

You must have a minimum of one years experience of car sales administration in order to be eligible.
